Central Air Conditioning Tips when Hiring A Venue

In most circumstances central air conditioning is imperative for the meeting rooms and should offer both heating and cooling, you may well need this for the health and comfort of your clients.

It may seem a weird and obvious item to include but some venues have only heating or cooling – not both. Older venues may not have any at all, such as, National Trust buildings.The information I have here includes large multi storey buildings as well as smaller more boutique venues.

Learn HOW the central air conditioning really works

  • I mean REALLY know how the central air conditioning in your room works, ask the venue staff when you have made the booking or on the morning you arrive.
  • If it’s too hot or cold every person in the room will look to you and expect you to make it better, and they mean NOW.

Does the air conditioner have a timer?

  • When does the ducted air conditioning come on and off? Some turn off at 6.00pm and that’s not much use for an evening event.
  • Some do not operate at all on weekends and that’s no good at all if your event is on Saturday, Sunday or during Public Holidays.

Where is the control panel?

  • Sometimes the control panel for your room in outside the room in the hall.
  • You may find your room has the control for the adjoining room or vice versa, check it out.
  • You may find the room getting hotter or cooler because a neighbor has changed the control panel unaware it is also effecting your room.

When do you need to adjust room temperature?

  • If you see a few people taking jackets off or putting them on it is a sure sign they are feeling a change in the room temperature.
  • I don’t bother to change it if it feels ok to me and only one or two people changed their jackets.
  • Sometimes the room may get a bit stuffy with poor air flow. You can tell this more as people start to yawn and get a more tired and sleepy look. In this case you need to make some adjustment. Turn the heat down a bit and maybe open a door if at all possible to let in fresh air for a while.

Can the door actually close?

    • I have found a couple of venues that have climate controlled buildings designed to prevent the doors from fully closing! They place stoppers above the door to prevent closing and this allows air flow from room to room and all around the building.
      • It may be great for the air flow, but not that helpful for noise control or privacy.
      • I would personally avoid that sort of room.
